Plan Around Your Business, Not Around the Calendar
The biggest mistake in commercial moves is planning around mover availability instead of business operations. Your move should be timed to minimize disruption — which often means evenings, weekends, or the slow season for your industry.
Assign a Move Coordinator Inside Your Business
Designate one person to be the internal point of contact for the move. This person communicates with the moving crew, answers questions about what goes where, and ensures the team is ready on move day. Without this role, moves descend into chaos.
- Create a floor plan of the new space and label everything
- Tag all equipment and furniture with destination labels
- Back up all data before IT equipment is disconnected
- Notify clients of your new address at least two weeks in advance
IT and Server Rooms
Technology moves require special care. Work with your IT team to create a disconnection and reconnection plan. Label every cable. Photograph every server rack configuration. Consider having IT staff present on move day to oversee disconnection and reconnection.
Communicate With Your Team
Your employees need to know what to expect. Brief them on the timeline, have them pack their own desk items, and give them a clear picture of the new space. A well-informed team is a calm team — and a calm team is productive from day one in the new location.
